Successful websites for non-profit organizations — tips and strategies

Typical stumbling blocks

Three stumbling blocks we repeatedly see in clubs

Volunteer caregivers are overwhelmed

Those who maintain the website often lack a web background — updates, plugins, security are neglected. Three clicks too many and nothing happens anymore.

Data protection and the Federal Data Protection Act (BFSG) are not covered.

Standard themes do not automatically comply with either the GDPR or the Accessibility Strengthening Act (BFSG). Donation forms, cookie banners, newsletters — there's a risk everywhere.

Donation and membership features are not standard.

A protected members' area, a GDPR-compliant donation module, automatic donation receipts — no normal website builder system offers any of this.

What a modern club website must be able to do

Club websites are not business cards — they are working tools.

A club website must fulfill several roles: external representation
for potential members and supporters, a working platform for
the board, service portal for active members. The following
These functions regularly appear in our club projects:

  • Attracting members — clear membership forms, usable on mobile devices.
  • Collect donations — GDPR compliant, without external tracking.
  • Dates, events and church services — with iCal export.
  • Board of Directors and members' area — separate from the public area.
  • Newsletters and circulars — with double opt-in.
  • Galleries for events — compliant with data protection regulations (no faces without consent).
  • Multilingualism — if your target audience needs it.
  • Accessibility according to WCAG — mandatory for many clubs.
  • Care suitable for volunteers — whoever is on duty has to cope with it.

Club modules from our practice

This is not a wish list — these are modules we would like to see implemented.
Real clubs have already built them. We adapt the function to each module.
and scope according to your statutes and working methods.

  • Protected members' area
Login with roles (member, board member, treasurer), non-public areas, minutes and documents only for registered persons.
  • Donation and contribution module
One-time and recurring donations, SEPA direct debit, payment provider of your choice. Donation receipts are generated automatically — no manual Excel spreadsheets required.
  • Dates, events, church services
Calendar with filters (e.g. by local group), iCal export for smartphones, registration form with participant limit.
  • Newsletters and circulars
Double opt-in, unsubscribe link, archive. Delivery via a GDPR-compliant provider — no external US services where it's not necessary.
  • Event galleries
Upload images, privacy notices for each gallery, easy deletion request for those depicted. Active image rights management instead of uncontrolled proliferation.
  • Care suitable for volunteers
Clear input forms, visible preview, no theme builder complexity. We train your volunteers — and take care of ongoing technical maintenance.

Some clubs have access to funding programs.

Frequently Asked Questions

What clubs often ask before the initial meeting

Do we really need our own website?

In most cases, yes — social media doesn't replace your own domain. Grant applications, legally required information (imprint, board members, bylaws), newsletters, and receiving donations are hardly possible without your own website.

How much does a club website cost at DigElite?

The effort involved depends heavily on the scope – how many functions, modules, and target groups. We don't offer a flat rate, but rather a specific assessment after an initial consultation. Many associations have access to funding programs that cover part of the costs – we'll explore these options with you.

How time-consuming is the care provided by volunteers?

We deliberately set up the caregiving masks to be streamlined. Even a novice should be able to manage appointments, posts, and images after a 15-minute introduction. We can handle all technical maintenance (updates, security) upon request.

Do we also need to be barrier-free (BFSG)?

If your website allows interaction (registration form, donation form, members' area, shop), the BFSG (Federal Data Protection Act) generally applies—even to associations. Details on our BFSG page.

Are the donation modules GDPR compliant?

Yes — we exclusively use payment and newsletter providers that operate in compliance with the GDPR and for whom a data processing agreement is available. No hidden US trackers, no data sharing with advertising networks.

Can we expand later?

Yes. We build modularly — new features (e.g., shop, additional languages, event management) can be added later without rebuilding the site.
