Order and quotation processing

From inquiry email to sent invoice — offers, orders, status tracking without copy-paste.

What is that?

What is "order and quotation processing" about?

The process of "inquiry → quote → order → invoice" contains the same repetitive core in almost every company: data entry, template completion, PDF generation, sending, reminders, and documentation. We automate this process using your existing tools (CRM, accounting, ERP) — humans retain control over content and pricing, but eliminate the typing.

Why it's worth it

Benefits and typical leverage

The biggest advantage lies not in the individual click saved, but in the response time: Inquiries that quickly receive a suitable offer convert significantly better than those that wait several days. Furthermore, there are fewer errors with prices, quantities, and address data because everything comes from a single data source instead of multiple Excel spreadsheets—and seamless status tracking without manual Excel maintenance.

Our implementation

How we will build it specifically

  • Inquiry entry: The email/form is automatically read, the customer is recognized or newly created in the CRM, and the request is recorded in a structured manner.
  • Generate an offer: The offer is generated from a template (PDF, Word, HTML) plus data source — with your layout, your language, your pricing structure.
  • Shipping & Reminder: An email with a personalized accompanying message is sent out; after 3/7/14 days, a gentle reminder follows — this can be deactivated per process.
  • Order status: The order is transferred to the ERP/CRM system, and all subsequent steps (order, invoice, delivery) are tracked and reported.
  • Tools: n8n, lexoffice/sevDesk/DATEV, HubSpot/Pipedrive/own CRM, PDF templates (Carbone, PDFMonkey).
